Files, tasks, and notes
What you can download, which tasks you can check off, and which notes you can see.
Tasks
Shared tasks show on Overview and on Your next steps. You can mark one done with the checkbox. Marking it again sets it back to To do.
You cannot create tasks. Scott adds them from the team side and chooses whether you can see them. A task marked internal is hidden from you, even if it is about your company.
You also cannot edit the title, the owner, or the due date.
Notes
Shared notes show on Files and decisions, under Shared notes. You cannot add a note from the client workspace. Internal notes stay on the team record and are not included in your downloads.
Downloads you can generate
Files and decisions builds these from the current workspace. They are drafts. Review them before you share them.
- Field Map and readout. The work, the Glitch, and the next move.
- Fit brief. Ranked recommendations and the falsifier. Published recommendations also say how you would know.
- Brain File. The longer reference file: inputs, evidence, the fair test, decisions, measures, and any meeting text already stored.
- Install record. Only when the phase is Install or Ongoing. It includes the chosen change, the next handoff, open risks, and shared notes about how to run it.
The Brain File tells a later AI workspace to treat the file as context, not as a model update, and not to fill gaps with guesses. Downloads do not include the private team read or a market note.
Uploads
On Meetings and sources you can upload audio, video, txt, or markdown. The limit is 4 MB per file. Larger recordings are not supported yet. The file is stored privately on that client.
Audio transcription is not connected. If you upload a recording, the status stays "Transcript needed" until someone pastes the words. A file with no transcript text is not rewritten. Use Paste a transcript when you already have the text. Try a sample meeting only when you want to see the excerpt flow. The sample text is fiction.
Review excerpts shows lines from the transcript. You choose where each line goes: context, staff, manager, leadership, Glitch, supporting evidence, challenge, falsifier, conclusion, or skip. Chosen lines are appended, and the meeting title is kept as the source. The excerpt picker does not write the Brain Build for you. After the transcript is marked reviewed, Mind Node can show a cleaner version of the fields you already filled. Empty fields stay empty.
Contracts, scopes, and deliverables uploaded on the team side stay on the client record there. They do not appear in your Files list.
A view-only sample cannot upload, cannot download stored files, and cannot save excerpt edits.
The detailed workbook
From the Brain File tab, Detailed workbook opens a longer question set in a new tab. It is optional. Capture, inside the main workspace, is the editor that saves the five-step Brain Build.
The workbook tries to save its answers onto the Brain Build. View-only samples cannot save. If the workbook says it could not save, use Capture instead and keep the workbook tab open only if you still need the longer questions.
For the fictional HVAC sample, the workbook may show prefilled demo answers. Those answers are not your business.
